The Proposal / Marketing Coordinator works closely with firm leaders to produce pre-qualification and presentation materials for winning proposals (RFQ (Request for Qualifications), RFP (Request for Proposal), SOQ (Statement of Qualifications), Technical Proposals, Government Forms, Interviews, etc.). The goal is to develop compelling submittals with clear messaging and effective visuals. Our preferred candidate has proven capabilities in organization, strategy, capture planning, message development, proposal management, and graphic design. Other duties include editing written content, updating our website, and social media activities.
Responsibilities
Contribute to our business strategy by participating in “Go/No Go” discussions and capture plans for individual projects.
Identify and compose graphics and photos for submittals.
Coordinate proposal prep, ensuring deadlines are met by contributors and that the proposal package meets RFP requirements.
Manage multiple deadlines, prioritize urgent tasks, and work with architectural staff to collect essential project details and stories.
Maintain lead tracking databases with relevant information on targeted clients, contacts, and opportunities in advance of RFP / RFQ release.
Maintain information databases (text and images) to facilitate proposal preparation.
Prepare marketing material for client interviews/presentations.
Propose marketing initiatives and ways to collect project metrics.
Organize photo shoots of recently completed projects.

Qualifications
Bachelor’s degree, preferably in Marketing, Communications, Graphic Design and/or relevant marketing experience in the AEC industry.
3-5+ years working in the field of marketing and proposal preparation. Experience at a mid-size to large Architecture, Engineering, or Construction (AEC) firm preferred.
Knowledge of RFQ / RFP / proposal processes.
Exceptional technical writing and graphic skills.
Proficient in:
Production software including Adobe Creative Cloud (InDesign, Illustrator & Photoshop)
