The Coordinator will provide direct administrative support for our Marketing, Strategy and Outreach (MSO) team and the Executive Director. This position requires a high degree of project/organizational management and a collaborative spirit. This is a 12-month (35 hours a week), non-exempt (hourly), benefits-eligible position based in Lewisburg, PA and will have the option for a hybrid work location (remote & in-office days).
The salary range for the position is $16.00 - $20.00/hour. The offer rate will be based on a review of the candidates credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
Administrative Support: Provide comprehensive administrative support to include managing tasks, calendars, meeting preparation and minutes, compiling information and ensuring seamless workflows for MSO team. Under direction, assist MSO team with execution of fundraising, engagement and stewardship efforts.
Project Coordination: Assist with project management and project support, including monitoring progress, ensuring deadlines are met, and collaborating with internal and external partners for reviews and feedback. Contribute to the improvement and evaluation of processes, assist in solicitation production, budget management, invoice processing, and stewardship initiatives. Schedule project debrief meetings, stay updated on progress, and collaborate with campus partners for project review and approval, collecting and organizing feedback for continuous improvement.
Data Coordination : Maintain donor information by entering relevant contact reports into the CRM database. Manage communication preferences and generate financial, participation, and projection reports. Track and report progress on specific metrics.
Communication : Deliver prompt, accurate, and appropriate responses to inquiries received through phone calls, mail, and email addressed to the office's general inboxes and voicemail.
Inventory Management : Monitor and coordinate timing of division and campus communications through a shared calendar. Manage solicitation inventory, including ordering, storage, and archiving. Maintain electronic appeals inventory.
Event Support : Provide support during Giving Days, significant annual fundraising initiatives, by managing volunteer shifts and coordinating catering and other event-related activities as needed
Other Requirements: This position (and all positions in our division) requires the occasional evening and weekend work to support university events including Homecoming & Family Weekend, Reunion Weekend, and large Career events. We do ask staff to mark their calendars in advance for these events.
Must meet one of these three requirements:
High School diploma or GED and two years of experience working in an office or customer service OR
Earned an associate's or higher degree and one year of experience working in an office or customer service setting OR
An equivalent combination of education and related experience
Must meet all of these requirements:.
Experience that demonstrates the ability and commitment to learn how to use a variety of computer-based programs and platforms to perform essential job duties.
Displays a high level of attention to detail and organizational skills
Strong time management skills with demonstrated ability to successfully manage and prioritize multiple projects and adapt to changing situations while working independently or as part of a team.
Experience with advanced features of Excel and database reports (pull, sort and analyze comparative data)
