Together, the WKU Office of General Counsel and the Division of Communications & Marketing seek a highly organized, self-motivated individual to serve as Coordinator, Comm/Mktg and General Counsel Operations. The successful candidate will ensure the efficient operation of both departments, manage budgets and purchasing, and handle other administrative and operational duties as assigned.
Primary Job Responsibilities:
The following duties are customary but are not intended to be all-inclusive. Duties may be added, deleted, or changed based on university and divisional needs.
Coordinate and manage the daily operations of both Communications & Marketing and the Office of General Counsel by fielding phone calls, greeting guests, scheduling appointments, and managing calendars
Review and compile documents related to open records requests (under the supervision of WKU's General Counsel and/or Asst. General Counsel) in accordance with applicable state laws
Manage purchasing and budgeting processes for both the Office of General Counsel and Communications & Marketing while ensuring compliance with WKU finance policies
Coordinate with the Media Relations team in Communications & Marketing to ensure timely and effective distribution of news and information items to local, state, and national media
Monitor emerging and active issues through social media listening software and news clipping services, keeping leadership in both Communications & Marketing and the Office of General Counsel informed of relevant developments
Serve as the primary contact for both offices' electronic personnel action forms (EPAFs), inter-account budget transfers, and other administrative forms
Manage and maintain confidential files, including personnel records and other files protected by attorney-client privilege
Ensure efficient operations by coordinating supply orders, equipment and building maintenance requests, and performing other duties as assigned
Prepare and send miscellaneous correspondences on behalf of both units

Excellent verbal and written communication skills
Demonstrated ability to work with multiple stakeholders and constituency groups
Technological penchant with high levels of proficiency using the Microsoft Office suite
Ability to adapt to frequent shifts in priority and tactic
Experience with purchasing and/or budgeting
Ability to effectively work as part of a team and function independently with limited direct supervision and oversight
Ability to balance the support needs of two distinct university offices
Job Requirements:
Bachelor's degree
At least two years of experience in an administrative assistant role or operational management
Additional Information:
Salary Range: $15.13 - $18.72/hr
This is an in-person, full-time position located on the first floor of Wetherby Administration Building.
