The Events and Conferencing Marketing Coordinator provides support to three primary Business & Finance departmental service operations: Events, Conferences, and Retreats. The position assists in data/financial analysis, event management, contract management and marketing and business operations for Event Services, External Conferencing & Events, Graduate Centers, Retreat House, and Evergreen Campus. This position may also be asked to direct student staff, on-call staff, and third-party contractors. This position may be assigned to perform these job responsibilities at any of the University campus locations or at off- site locations. These services provide support not only to all University constituencies but include Loyola's external community.
Job duties include:
Combine a mission and market approach to strategic planning and business development. Seek opportunities where University facilities can be used to generate revenue by providing services to event sponsors from outside Loyola. Conduct research for these opportunities to increase revenue, establish/maintain a tracking process for revenue generating opportunities and manage and negotiate contracts. Partner with the Director of External Conferencing and Events to conduct research on potential clients & event opportunities.
Work with the Director of External Conferencing & Events to market the spaces and services of the Off-Campus Centers, the Retreat Center, and Conferencing (e.g. Weddings, Summer, etc.). Analyze and recommend development of marketing strategy, defining objectives, and execution of all communications including positioning, branding, and other related issues for revenue generating operations including but not limited to Off-Campus Centers, Retreat Center, Evergreen Campus, Alumni House and additional University properties that offer a revenue generation opportunity.
Manage email marketing, brochures, post cards, sales materials, social media and web content. Facilitate marketing efforts, including public relations, and advertising. work with the Director of External Conferencing and Events to respond to market changes and manage the on-going development of the Conference Program and Retreat Center. Manage the creative process in the design of all marketing materials.
Coordinate with Marketing and Communication in managing communications and coordination of efforts to ensure that all University institutional marketing efforts are maintained. Maintain the budget for all marketing communication materials related to Off-Campus Centers, Evergreen, Retreat Center, and services provided for non-Loyola constituents.
Coordinate event schedule, event priorities and support requirements of all University campus events & external conferences held on campus and at the Retreat House. Follow up with external clients on event inquiries. Schedule and conduct campus and/or retreat house tours for prospective events. Prepare, send, receive, and process rental information, contracts, billing, and event sponsorship documents. Serve as day of event liaison between department and outside contractors, including but not limited to caterers, table and chair rental companies, decorators, sound and light vendors, tent companies, radio rental companies, ambulance service, florists, etc. to ensure proper management and coordination of services. This includes coordination of access (loading docks and freight elevators). This position requires attendance at numerous events.
This position requires flexibility. The work schedule may be based on events, with weekend, holiday, and weekday adjustments as part of the normal weekly operating procedures. This position may be assigned to perform these job responsibilities at any of the University campus locations or at off- site locations without prior notice.
Bachelor's degree and 3 to 5 years of experience required.
