The Director of Finance & Administration is a full-time, exempt position that reports directly to the Chief Executive Officer (CEO). The Director of Finance & Administration oversees accounting, human resources, information technology and building operations. Responsibilities include supervising department personnel, overseeing department operations and ensuring performance standards are met. The Director of Finance & Administration attends all MPA Executive Board, MPF Board of Directors and PSI Board of Directors meetings, is involved with contract negotiations, budget management, financial oversight, general administration of the organization and performs miscellaneous, related duties as delegated by the Chief Executive Officer.
Finance & Accounting Duties:
Oversee and coordinate activities of the Finance & Administration Department.
Oversee the contractual and operational relationships between MPA, PSI and affiliated vendors.
Supervise the MPA/PSI Accounting Assistant, MPA Information Technology Manager and additional personnel as needed. Serve as mentor and coach and ensure that all work efforts are being directed to achieve the overall goals of the department.
Develop the strategic goals and objectives of the department and adhere to quality and performance improvement standards.
Provide input on management/supervisory issues and supports and implements senior leadership decisions.
Develop performance objectives for direct reports and support individual professional goals; provide feedback timely and appropriately.
Ensure the timely and accurate reporting of financial data, in conformity with accounting standards, and provide that information regularly to the CEO, Staff, and MPA/PSI/MPF boards. Meet regularly with department heads to gain an understanding of major variances and provide mentoring and guidance.
Review budget/actual financial reports with financial analysts and department management to gain an understanding of major variances, provide guidance and assist with resource management.
Review fiscal impact on proposed contracts prior to execution and monitor fiscal compliance with contracts.
Manage the maintenance of the banking and investment relationships.
Work with departments to develop the budget for the next fiscal year and monitor monthly budget variances and maintain the financial reporting/budget module.
Work with other departments to forecast projected results at appropriate times during the fiscal year.
Establish and implement short- and long-range financial goals and objectives of the organization.
Develop and prepare operating and capital budgets and forecasts which reflect the allocation of resources to meet organizational goals.
Provide tax planning and oversee the prompt and accurate filing of tax returns.
Oversee annual audits of MPA.
Information Technology Duties:
Supervise Information Technology Manager.
Ensure integrity of MPA’s database including data entry.
Monitor maintenance, configuration and upgrade of the association’s client relationship management (CRM) system and implement strategies to improve CRM performance.
Oversee hardware and software procurement, implementations, installations of software upgrades and patches.
Human Resource Duties:
Lead human resources efforts on behalf of MPA and PSI, including the ongoing maintenance of personnel policies and procedures.
Coordinate the performance review process on behalf of all departments.
Handle all details of hiring, including placement of job postings, coordination of interviews and onboarding process.
Participate in reviews, updates and maintenance of MPA policies related to human resources and operational procedures in collaboration with the senior management team.
Facilities Management Duties:
Manage MPA facilities including cleaning and maintenance, space management, repairs, capital improvements, and long-term storage.
At least six years professional management experience which includes managing accounting and integrated accounting system experience.
Supervisory experience required.
Knowledge of generally accepted accounting principles required plus experience managing a professional/clerical accounting staff.
Knowledge of and/or experience with managing human resources, information technology and building operations functions and staff.
KNOWLEDGE, SKILLS, AND ABILITIES:
Possess critical and analytical thinking skills.
Demonstrate ability to succeed in a fast-paced work environment; ability to learn quickly and meet deadlines.
Possess technical proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, QuickBooks), general computing skills.
