Advertised Summary Job Description: The Events & Marketing Coordinator will have responsibilities in two offices at Columbia University School of Nursing to support events and marketing efforts for the School. Events will include Alumni Reunions, Board of Visitor meetings, annual Dean's Reception, panel discussions, etc. The Coordinator will also support the marketing team by helping to manage the School's internet presence, as well as the digital footprint of the ColumbiaDoctors Primary Care Nurse Practitioner Group (the School's faculty practice) to reach potential patients. The individual in this role will report directly to the Associate Director of Alumni Relations.
Specific responsibilities will include:
- Providing support in planning and executing School-wide events and programs including handling catering, processing vendors for University approval, submitting reimbursement forms, booking spaces, setting up & breaking down events, etc.; - Processing invoices for related events and marketing projects, creating online registration pages, tracking RSVPs, assisting with event mailings & address lists, etc.; - Coordinating meetings for team members tasked with planning events and maintaining all meeting minutes & action items; - Handling logistics for events including confirming hotel blocks, creating nametags, scheduling photographers, managing print & online communications (i.e., invitations, emails, event programs, etc.), helping to carry out event timelines & checklists, and following-up with post event activities (i.e., thank you messages, surveys, etc.); - Overseeing the event supplies inventory and replenishing as needed; - Making updates to the School's web pages & intranet according to Columbia University Medical Center (CUMC) requirements through content management systems (Drupal, Wordpress, Confluence); - Serving as the communications point person to post emergency alerts on the School's website and on social medial channels; - Fielding requests to promote School events through posts on digital messaging boards while maintaining proper format and consistency in verbiage; - Ensuring that faculty profiles & titles are reflected on the School's internet page accurately and in accordance with University guidelines and approvals; - Assisting in the production of videos for events and other projects including scheduling interviews, securing spaces, liaising with vendors, etc.; - Working with the Marketing & Communications Manager to support special projects for Jonas Nursing & Veterans Healthcare; - Managing internal & external events calendars and ensuring events are posted to the appropriate communications vehicles (i.e., intranet, website, newsletters, etc.); - Taking photos at School events for posting to social media and communications vehicles, creating flickr albums, and maintaining photo files; - Arranging travel plans and other logistics when necessary; and - Performing other duties and projects as needed and assigned.
General Minimum Qualifications: Requires a bachelor's degree or equivalent in education and experience, plus three (3) years of related experience.
Additional Specific Minimum Qualifications: The Events & Marketing Coordinator will have exceptional interpersonal skills and be able to deal with individuals at all levels of faculty, staff, alumni, and other external stakeholders. S/He will be detail-oriented, highly organized and creative with the ability to work successfully in a fast-paced, team-oriented environment. Excellent communication skills - both oral & written - are a must for the individual in this role. The Coordinator will exhibit proactive customer service and be results-oriented with the ability to prioritize and handle multiple projects simultaneously. Prior experience on an events and/or marketing team is essential for the individual in this role. The successful incumbent will also be willing to work flexible hours to attend events that take place outside of the normal workday.
Preferred Qualifications: Work experience in a higher education setting is preferred for this position. Experience using content management systems such as Drupal, Wordpress and Confluence is also a plus.
