Support Venice Family Clinic's comprehensive and complex fundraising strategy that raises $1.2 million annually through the successful execution of events and marketing plans. Manage event logistics such as catering, security, displays, signage, petitions, permits, transportation and parking for events including but not limited to Children's Holiday Movie, Silver Circle Gala, Venice Art Walk & Auctions, Third Party Events, Young Professionals and Major Donor events. Coordinate all administrative and logistic duties including: ticket sales, registration, RSVP lists, supply needs, inventory control, budgets, communications, timelines, merchandise fulfillment and recaps. Manage rentals contracts of spaces and items with budgets of $100K+. Delegate workload and manage event staffing through interns and volunteers. Oversee budgets, track revenue and expense goals and develop creative cost-saving, in-kind and revenue enhancing measures. Ensure Director of Special Events is briefed on all aspects of progress, needs, issues, and successes.
Brainstorm, research and implement improvements to events each year to keep fresh and drive increases in revenue. Solicit in-kind support including but not limited to: donations, in-kind experiences, raffle and silent auction prizes. Comfortable making cold calls and sending unsolicited letters/emails. Drive record-breaking attendance, revenue and expense controls in Children's Holiday Movie ($160K+), Silver Circle ($1.6M) and Venice Art Walk ($755K). Develop new revenue streams through artisan booths, restaurants at Venice Art Walk ($2.8K). Leverage relationships to create new event opportunities, add value to events, offset costs and drive in-kind support and revenue. Implement complex financial procedures for event payments and reconciliations that comply with UCLA procedures. Assist Finance department in reconciling post-event, preparing reports and delivering support. Work with Corporate Sponsorship Associate to ensure all sponsor benefits and deliverables are met at the event and on marketing pieces. Manage E-Commerce site: create and oversee point of sale websites for all event products including donation pages and merchandise, manage distribution and fulfillment. Collaborate with colleagues and committees to reimagine Silver Circle Gala. Brainstorm, develop and implement strategies around major anniversaries (Children's Holiday Movie 30th in 2018, Venice Art Walk 40th in 2019, Venice Family Clinic's 50th in 2020).
Oversee management of all event marketing. This includes mailings, signage, invitations and evites which enables the Clinic to leverage the Communication Manager to overall Clinic communication functions, enabling the Communications Director role to now be filled at a manager level. Manage and produce production calendar for all event marketing pieces requiring input from numerous entities (CEO, sponsors, Communications Manager, Development team members). Manage external graphic design company and print vendors. Write and produce engaging themes and copy for each event to drive fundraising and attendance goals. Manage the tribute journal program including sales, tracking, distribution of work across the Clinic and Development Department, production and fulfillment. Manage and work with teammates to edit websites and keep them up to date. Develop new look for Venice Art Walk & Auctions to engage new donors and art buyers. Assist with sales of tickets, tables and tribute journal ads. Lead the creation, proofing and distribution of event materials including: signage, posters, brochures, mailings, and solicitation. Lead development of digital and print materials including letters, brochures, appeals, and communications associated with events. Integrate clinic messaging at events to drive revenue for Children's Holiday Movie ($160K) and Venice Art Walk ($755K). Conceptualize, create content and manage production of eblasts.
Maximize relationships to raise revenue and manage expenses for the Clinic. Create a complex curriculum to develop a large intern team and manage workload. Manage relationships with external partners, government officials, and sponsors. Co-leads committee meetings with Event Director. Collaborate with Director of Special Events to coordinate event committees and volunteers. Develop event protocols to train co-workers, committee members, interns and volunteers for each event. Coordinate projects assigned to committee members and volunteers; develop work flows and recognition. Identify, recruit, coordinate and train committee members and volunteers. Work with Volunteer Director to coordinate information, lead trainings and communication for volunteers. Responsible for meeting logistics and communications including catering, agenda and recap notes. Cultivate relationships with volunteers, donors and community members. Cultivate relationships with vendors to decrease spending through skilled negotiation.
Maintain strong working relationships with Development, Communication, Individual Philanthropy, Corporate and Grants & Evaluations teams to ensure streamlined event execution. Build and maintain strong working relationships with non-Development Clinic staff to ensure cross-divisional relationships and shared knowledge. Liaise with Data Management team to ensure accurate tracking of donors and sales. Maintain division event calendar, timelines, budgets, invoicing, data and communication deliverables.Other duties as assigned within Venice Family Clinic.
1-5 years experience in event planning and production. Skilled in creative approaches to events. Excellent organizational skills. Can marshal resources (people, funding, material, support) to get things accomplished. Uses resources effectively and efficiently. Able to coordinate multiple events simultaneously. Demonstrated ability to meet deadlines and complete detailed assignments in a timely and thorough manner. Exceptional multi-tasking and trouble-shooting skills. Skilled at establishing and maintaining productive working relationships with staff and volunteers. Computer skills, including demonstrated proficiency in Microsoft Word, Excel, and ability to learn new software programs; familiarity with Raiser's Edge and Access helpful. Typing skills to prepare materials with speed and accuracy. Skilled at working both independently and as part of a team. Diligent and detailed oriented approach to event planning while not losing sight of the larger strategy. Ability to write and edit creative, concise and grammatically correct correspondence and other written materials. Basic knowledge of graphic design and printing process. Proven ability to develop and execute strategic plans. Entrepreneurial approach to fundraising; demonstrated ability as a self-starter. Will be required to work occasional evening and weekend hours as needed. Valid California driver's license. (subject to DMV pull notice)
